Formula & How It's Calculated

Accrual Rate = Annual PTO Days ÷ Pay Periods Per Year PTO Payout = Balance (days) × Daily Rate Daily Rate = Annual Salary ÷ 260 (or Hourly × 8)

Example Calculations

$65,000 salary, 15 days PTO, bi-weekly, 3 days used

  • Accrual rate: 15 ÷ 26 = 0.577 days per paycheck
  • At mid-year (50% through year): ~7.5 days accrued − 3 used = 4.5 days balance
  • Payout value: 4.5 × ($65,000 ÷ 260) = $1,125

How PTO Accrual Works

Most companies accrue PTO gradually throughout the year rather than granting it all on January 1. With 15 days annual PTO on a bi-weekly schedule, you earn 0.577 days per paycheck. By mid-year you've earned 7.5 days; by year-end, the full 15.

California PTO Rules

California treats PTO as earned wages — it cannot expire ("use it or lose it" policies are illegal in California). All unused PTO must be paid out upon termination at the employee's final rate of pay. This applies to all California employees regardless of company size.
